Someone who has a highly competitive and entrepreneurial mindset that is wired with a team-first attitude, has no problem rolling up their sleeves to execute their missions, and can modulate between leading and following as needed. You will serve as the Administrative Assistant.

    Position 80s

    What You’ll Be Doing

    At Solera, we believe in providing clarity and focus to what our volunteers are responsible for – their mission. The 80’s, as we call them at Solera, are the employee’s priorities associated with their role or mission. The mission 80’s for this role, are:

    1. Working in an unsupervised and autonomous environment as "right hand" to the Regional Managing Director and supporting a five person leadership team
    2. Managing the RMD’s calendar and itinerary; including the planning, organization, coordination of travel, meetings, conference calls, events and logistics with both internal and external clients
    3. Manage general correspondence on behalf of the RMD, through processing incoming calls, mail and taking appropriate action and escalation with minimal supervision

    Additional duties of the role include:

    • Assistance in the preparation of reports and briefing documents for Senior Executives in a variety of formats (PowerPoint, excel, word documents, etc.)
    • Provide administrative support for the leadership team as and when required
    • Assist the team with ad hoc requests i.e. coordination of events, meetings etc
    • Developing and implementing process improvements to maximize departmental efficiency
    • Managing expenses; including completing invoice payments and expense management accounting, investigating and sourcing cost-effective purchases and practices
    • Maintenance of a master filing system and being able to process confidential transactions in an efficient and expedited manner
    • Managing special projects and additional support through the coordination of personnel related issues
    • Preparing couriers and packages
    • Monitoring/ordering/storing stationery supplies, including arranging for off-site storage and destruction of files/records
    • Additional administrative duties will be required (ie. Filing, photocopying, e-mailing, scanning and faxing)


    Are You Qualified?

    • Minimum of 6 years’ experience assisting C-level executives is a must
    • Experience working in fast paced entrepreneurial environments is a major asset
    • Business university degree is an asset
    • "Getting things done in a sensible way" you have a high degree of resourcefulness, flexibility, and adaptability
    • Highly effective project management and prioritization skills
    • Excellent interpersonal, written and verbal communications skills that allows you to work effectively in a diverse working environment
    • Able to work well under pressure and provide strong customer service, care and problem resolution skills
    • Highly flexible, with the ability to adapt to and quickly learn new software and systems
    • Strong work ethic, personal warmth, highly motivated with a positive team attitude
    • Computer literacy, including strong working knowledge of MS Word, Excel and Outlook
    • Professional ability to maintain positive relationships internally and externally
    • Understand key components of human resources administration and how to use the information / data of the management systems and tools required to do the job
    • Experience and visibility as business operational partner
    • Position requires the willingness to work beyond typical business hours
